The Challenge

Managing 20+ clients simultaneously meant spending hours on repetitive administrative tasks: client emails, proposal customization, project status updates, and timeline management. Each client interaction required manual work, reducing billable hours.

The Solution

Built a comprehensive AI automation system integrating ChatGPT, Make.com, and Google Sheets to automate the entire workflow from lead qualification to project handoff.

The Problem

As a freelance designer scaling to multiple clients, the administrative overhead was becoming unsustainable. The client was spending 15+ hours weekly on:

  • Writing personalized proposal responses to inquiries

The Solution

I built a modular automation system using three key components:

1. Lead Qualification & Proposal Generation

When a client inquiry arrives via email, ChatGPT automatically evaluates if it matches the freelancer's criteria. If qualified, it generates a personalized proposal using the client's brief, the freelancer's portfolio context, and standard pricing templates. The proposal is sent within 2 hours of inquiry.

2. Project Status Tracking

Every task from the design tool (Figma, Adobe Creative Cloud) is pulled into a centralized Google Sheet. AI summarizes the status in simple language. If a project hasn't moved in 3 days, an alert is triggered.

3. Automated Client Updates

Every Monday, the system pulls all project data and generates a personalized update email for each client. The email includes completed work, next steps, and a direct link to view progress. No manual writing required.
